GENERAL SUMMARY 
Handles each step in the payroll process, accounts payable and purchasing. Ensures that wages are accurate and timely. Maintains understanding of health benefits, 403(b), and paid time off policies. 


ESSENTIAL JOB FUNCTIONS

  • Processes payroll and creates batches for payroll exceptions.

  • Trains employees on use of payroll system.

  • Verifies all time cards and corrects all discrepancies.

  • Calculates and balances payroll.

  • Balances earnings and taxes for year-end.

  • Prepares accurate information for salary increases.

  • Updates all benefit plans with new salary information.

  • Provides information and forms regarding the College benefit programs.

  • Responds to employee requests for payroll related information.

  • Prepares accounting and payment requests for payroll related activity.

  • Prepares and posts payroll, benefit and general ledger accruals.

  • Reports academic labor activity to Academic Dean.

  • Maintains records to support benefit programs.

  • Maintains other accurate files.

  • Generates ad-hoc reports.

  • Performs timely reconciliations, and responds to general requests, payroll journal entries

  • Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items.

  • Purchasing of all lab/supplies and items entering purchase orders into Jenzabar.

  • Tracking receipt of all lab/supply/item orders and matching receipts with invoices

  • Ensure timely and accurate payments to vendors

  • Process of payments against purchase orders

  • Review of payments for compliance with internal controls

  • Obtain W-9s from all vendors

  • Entering and reconciling credit card account activity

  • Assist with the preparation of month-end close schedules

  • Year-end processing of 1099s

  • Other duties as assigned.

PREPARATION, KNOWLEDGE, SKILLS & ABILITIES

  • Associates degree or equivalent.

  • 2-5 years' experience in an office environment.

  • Experience that involves processing payroll, experience with ADP

  • Proficient with typing and spreadsheet programs.

  • Advanced office skills experience or training certificate, preferred.
