Description of Work Unit
The Office of Advancement in the College of Business at Colorado State University is seeking a Development Coordinator. This development team has a dual report to the Division of University Advancement and the College of Business Dean’s Office. The Development Coordinator will play an integral role in overseeing the operational and administrative activities that support the College’s fundraising goals.

The Office of Advancement in the College of Business builds and maintains relationships with alumni and friends to garner financial support for students, faculty, programs, and facilities that are integral to achieving the College’s mission of transforming lives and improving the world around us through business education, scholarly research and community engagement. The team works with the dean of the COB, COB faculty and staff, University Advancement, and various campus partners to lead, create, and implement successful development strategies that are a framework for future growth.
Position Summary
The COB Development Coordinator will handle all operational aspects the College’s development office, including but not limited to donor relations and stewardship, ensuring the accuracy and integrity of donor data and gift fund management, assisting with internal and external development office communications, etc. Examples include – new fund creation; create and track donor documents such as fund agreements and pledge forms; manage scholarship stewardship and administration; coordinate solicitation and appeal code requests from the college’s faculty and students; assist with the development of marketing materials; assist with event planning; and monitor COB pipeline information in the Advance database; etc.
Additionally, the Coordinator will create and maintain processes to support frontline fundraisers, the dean, department heads, and faculty in their donor interactions. Examples include – prepare visit/trip materials; enter contact reports; develop presentations; assist with fundraising material creation; support proposal creation; pull ad-hoc reports; etc.
The Coordinator will also be responsible for the management of 1 to 3 student employees and will handle all team administrative duties, including but not limited to assisting with calendars and scheduling, processing receipts and travel documents, and other duties affiliated with cultivating and stewarding COB donors. This position will report to the Executive Director of Development and will assist 3 college development officers.
The division of University Advancement is currently working 100% remotely, but we anticipate returning to hybrid operations for the Fall 2021 semester. At this time, remote work and flexible work arrangements will be available to UA employees, including this position.
Required Job Qualifications
- Bachelor’s degree from an accredited institution by employment start date
- Minimum of 2 years’ experience in an administrative role, such as project or office management and/or in a customer-facing role, such as sales, marketing, non-profit management or development office
- Demonstrates active engagement and support of diverse individuals, opinions and perspectives, and actively engages with and supports the university’s mission, vision and values
- Ability to work non-standard hours, including early mornings, evenings, and some weekends
- Must have a valid driver’s license, the ability to obtain a driver’s license, or access to a licensed driver by the employment start date

- Manage development operations to enhance the fundraising activities in the College of Business
- Implement and maintain processes to support frontline fundraisers, the dean, and department heads in their donor interactions (write briefs, prepare materials, develop presentations, support proposal creation, new fund paperwork, gift and gift-in-kind transmittals, letters of intent, pledge forms, travel reports, and schedule meetings)
- Proficiency in the CRM system Advance. Input as well as compile and analyze data and information from the CRM donor database
- Create donor profiles as needed to guide development staff, dean, and faculty members with their interactions with donors and prospects
- Manage all scholarship administration and stewardship, including oversight of the annual scholarship luncheon with donors, prospects and student recipients as well as notifying donors of their recipients, and more
- Oversee integrity of donor data and gift fund management (create new funds; create and track fund agreements; create and track proposals; enter contact reports; handle all ad-hoc report requests; handle appeal code requests; and manage COB pipeline information in the Advance database)
- Ensure accurate processing of donor gifts in adherence with donor intent and University Advancement and Colorado State University Foundation policies
- Facilitate the CSU naming process for donors in the COB
- Coordinate attendance at university and college events for out of state visitors, and manage event attendees, hosted guests for events and campus tours, and manage all associated details (briefs, reservations, etc.)
- Interpret University Advancement policies to faculty and staff within the academic units and centers, and support them in adhering to guidelines and best practices

- Manage development operations to empower Dean and development team to identify, qualify, cultivate, solicit, and steward alumni and other major gift ($25,000+) donors
- Responsible for understanding and executing the Donor Bill of Rights, and maintaining positive donor relationships and confidentiality
- Manage gift acknowledgement process (create thank you letters, weekly gift reports, and customized donor communications; track mailings)
- Assist with college and departmental advisory committees as needed
- Recommend strategic actions to senior leadership by pulling reports, creating presentations, and overseeing travel schedules to support the university and college fundraising priorities
- Draft strong, clearly written communications (email and written correspondence, contact reports, etc.) to ensure flow of information is recorded accurately in Advance database
- Compile lists of donors and alumni for use by academic units for mail and email communications, event invitations, and solicitations
- Manage stewardship and donor communication on behalf of the COB, including coordinating with the COB Marketing and Communications team on electronic marketing and communications, documents, print materials, website updates and social media presence
- Assist with special donor engagement projects, as needed (support donor events, order gifts, assist with donor spotlight stories, etc.).

- Assist the Executive Director in managing a $163,000 budget, including monthly accounting, reporting, and fund management for travel, donor stewardship and alumni events
