The Department of Pathology & Immunology is seeking a Business Operations Associate to join our administrative team. This position provides HR support to researchers and clinicians at all levels and plays a vital role in our day-to-day operations. The position requires excellent organizational skills and the ability to multi-task in a fast-paced environment. The ideal candidate will possess great customer service skills, self-motivation, attention to detail, and a willingness to learn and assist others.

Job Duties
  • Manages and processes all new hires, terminations, promotions, salary and FTE changes in SuccessFactors.
  • Manages onboarding of new faculty and staff by collaborating with affiliate institutions, and administration to ensure faculty and staff are onboarded in a timely and efficient manner.
  • Submits and manages all new, replacement, and promotion position requests.
  • Works directly with BCM’s employment recruiter assigned to Pathology & Immunology in reference to recruitment, interviewing, hiring for the organizational unit, and the posting of new jobs on BCM’s employment and external websites.
  • Works directly with Compensation to ensure all internal personnel activities meet college and organizational objectives in recruitment, equal pay, equal opportunity, transfers and promotions. 
  • Works with confidential information where discretion is necessary to protect confidentiality, and maintains confidential files and records in accordance with records management.
  • Manages and maintains all Sponsored Guest Account requests for Pathology & Immunology non-paid employees.
  • Completes on/off boarding for rotating Pathologist Assistant students at Ben Taub and BSLMC.
  • Manages and maintains the departmental process for all incoming and active visa immigrants within Pathology & Immunology.
  • Prepares departmental immigration forms, correspondence and check requests for filing with the U.S. Immigration Service and other government agencies. 
  • Advises and assists international visitors, students, research staff, and faculty in obtaining and maintaining U.S. non-immigrant status, and INS work authorization in conjunction with BCM policies and procedures.
  • Works directly with BCM ISO advisors to ensure proper time sensitive documentation is completed for international new hires prior to transferring within the US or arriving outside of the US.
  • Manages and completes required appointment paperwork for the processing of paid and non-paid faculty appointments and promotions. 
  • Prepares and routes new faculty employment agreements and/or amendments for approval/signature.
  • Distributes and collects new/annual Faculty appointment letters for regular and voluntary appointments.
  • Manages and processes new/renewal postdoctoral appointments and distribution of appointment letters using BCM-PAPs database.
  • Assist with financial operations, including annual budget preparation and preparing financial reports.
  • Submits bi-weekly/quarterly/monthly supplemental payments.
  • Assists employees with questions in regards to benefit changes, paycheck discrepancies, additional pay, etc.
  • Provides guidance and assists Pathology & Immunology managers and supervisors with handling disciplinary problems within the department.
  • Completes, distributes, and assists manager with required documentation needed for RIF’s.
  • Maintains locks and key distribution for the Department of Pathology & Immunology.
  • Assists Administrator and Chairman in attaining goals and objectives. 
  • Performs multiple time-sensitive and confidential administrative duties.
  • Communicates College policies to faculty and staff in the organizational unit and respond promptly concerning inquiries and requests for information.
  • Counsels departmental contacts on various issues, not limited to: compensation, BCM’s policies and procedures, advertisements, and offers.

Minimum Qualifications
  • Bachelor's degree. 
  • Two years of relevant experience.
