The Department of Neuroscience is seeking a Senior Coordinator, Business Operations. This role will directly support the Administrator, Manager, and HR Lead Business Coordinator with various human resources and administrative tasks as detailed in the job description. 

Job Duties
  • Works with the Lead Business Operations Coordinator and International Services Office on issues related to foreign worker visas for current and prospective/new employees within the department. Works directly with Faculty and Staff to be a point of contact for various visa-related concerns. Requires an ability to work well under pressure and adhere to various deadlines regarding visa processing.
  • Maintains our postdoc appointment system for all new and current postdocs. The system requires confirming certifications are completed by all postdocs in the database and obtaining signatures for appointment requests and letters. The department currently has 50 Postdoctoral Associates as of September 2021.
  • Processes personnel-related transactions in Success Factors concerning all equity increases for postdocs. Coordinates with Human Resources as required.
  • Maintains (submits new/renews current) all our guest accounts (SGA) in our department. This process will require obtaining the necessary forms from the guest and lab and obtaining approvals from central offices and IT. The department currently has 60+ active guest accounts and new requests vary on needs in the labs.
  • Composes routine letters and correspondence and prepares other documents concerning HR. These letters could be regarding employment verification, draft support letters for new visas, and any other necessary letters required by the department. Additionally, routine emails and reminders will also be sent to the department for any upcoming HR/training deadlines, and any other various correspondence.
  • Assists various faculty with allocating purchasing card expenses in Concur.
  • Processes purchase orders for the department. This will include office orders and other special orders for our labs that require assistance (equipment purchase, service fees, and so on).
  • Processes check requests and journal vouchers (cash deposits, subject donor petty cash) for the department.
  • Monitors financial activity by compiling, reviewing, and reconciling financial accounts. This will include conducting bi-weekly/monthly reviews of any blocked invoices as well as bi-weekly/monthly reviews of open encumbrances in our department.
  • Orders office supplies and coffee/refreshments bi-weekly.
  • Maintains coffee station in both admin suite and common kitchen area. 
  • Stocks office suite with necessary refreshments, office supplies, and coffee daily.
  • Coordinates department meetings, events, retreats, and other functions. This will include our weekly seminars, faculty visits, etc.

Minimum Qualifications
  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications
  • Knowledge with any of the typical BCM databases (SAP or Concur).
  • Experience helping in a support role for a department or company.
