The Senior Director of Administration, Budgets, and Planning supports the Dean of Arts and Sciences Faculty/AVP of Arts and Sciences in providing effective oversight of administrative functions, data analysis, strategic planning, budgeting, and financial management. In this role, the Senior Director 1/ manages the administrative functions of the A&S areas, including FAS Departments, Programs, and Centers, 2/ manages the budgets and financial operations of the Office of the AVP of Arts and Sciences and the A&S Departments, Interdisciplinary Programs, and Centers, 3/ provides support for joint strategic financial planning of A&S area budgets (including collaboration with FCLC, FCRH, and GSAS) and supports the design and implementation of coordinated Arts & Sciences initiatives, and 4/ liaises with the Provost’s Office as well as other financial and administrative offices, including Finance, Procurement, and Human Resources.
- Supports the Dean of A&S/AVP for A&S in financial and administrative functions, managing all non-academic personnel resources of A&S, including budgets, space, planning, analysis, etc.
- Coordinates the collaborative financial and planning efforts of the A&S Finance Directors/Managers in the Fordham College Lincoln Center, Fordham College Rose Hill, and the Graduate School of Arts and Sciences to support a coordinated financial strategy for Arts and Sciences. Supports the BPREP processes for A&S overall, working with the four Deans’ individual budget-support staff. Oversees, maintains, and prepares annual budget requests including new initiatives for A&S area budgets (FAS, GSAS, FCRH, FCLC).
- Provides guidance to 20 A&S Chairs and approx. 30 Directors on financial and administrative functions, including budget management, hiring, onboarding, and supervision of non-instructional staff.
- Provides training and oversight to A&S support staff in departments and programs in the implementation and management of FAS policies, technical and procedural information, as well as administrative processes and procedures employed by the University.
- Manages the allocation of faculty office and administrative space allotments to A&S Departments, Centers, and Interdisciplinary Programs on both campuses.
- Participates in the planning of new A&S initiatives by providing data analysis, forecasting, and other supporting reports.
- Supports the analysis of A&S faculty composition, including tenure track authorizations, non-tenure track hiring, adjuncts, faculty leaves, and factors impacting faculty course load.
- Tracks faculty absences due to internal and external fellowships, medical and other leaves, retirements, and resignations.
- Tracks reported faculty teaching loads; within FAS policy guidelines, records faculty course reductions and overload requests.
- Tracks gap funding and salary savings from faculty leaves.
- Coordinates department and program administrative nominations (chairs, associate chairs, and program directors); processes and tracks compensation for these administrative appointments including, where applicable, stipends, course releases, and/or research or other support.
- Maintains faculty recruitment budget, which includes communication of dollar limits and reimbursement requirements to A&S Chairs.
- Designs, implements, and analyses the effectiveness of FAS funding programs including:
- Academic Travel
- A&S Deans’ Challenge Grants
- Supplemental Lab Supply Program
- Manages the FAS/ GSAS Teaching Credits program, including the distribution of GSAS mentoring reports and course reduction requests from Department Chairs.
- Analyzes A&S area and department budgets for efficiencies and opportunities to maximize University resources in support of a unified A&S vision.
- Provides Banner Fund training and support to A&S Deans, Department Chairs, and Interdisciplinary Program Directors and serves as liaison to other University financial offices (Human Resources, Finance, and Procurement).
- Participates in University budget meetings in support of A&S Deans.
- Coordinates department and program requests for the coming year from annual review submissions.
- Maintains, communicates, and updates the FAS Disaster Recovery plan (operational procedures and forms that permit vital office functions to continue under extraordinary circumstances).
- Supervises the FAS Executive Secretary and graduate interns/student workers.
- Manages prioritizing projects, tracks strategic initiatives and annual goals.
- Supervises and prepares special reports such as annual reports.
- Approves, with Dean’s oversight, all FAS fiscal transactions and maintains necessary accounting records.
- Handles issues related to the day-to-day financial operations of the Office of FAS and serves as liaison to other University financial offices (Human Resources, Finance, and Procurement).
- Master’s Degree or equivalent professional experience in a relevant field is required.
- An MBA, a master’s degree in Finance, Management, Public Administration, or a similar field preferred.
- 10+ years of experience in administration and financial management, including 5+ years of experience in higher education.
